I'm pulling together a presentation and have to discuss why we have mailbox limits and storage costs, mail server backup etc and wanted to get input on what others are doing:

Mailbox size limits
Retention enforced and if so quota / limits?
Personal Folder archives allowed?

We have no limits set. I just ask users that are abusing it to delete items.
Also run a top ten largest item in malbox once a week.
Most users dont understand that they can't send a 200 meg file and delete it, then it sits in the deleted folder taking up space.
Auto archive is not on for most people, only a few know how to use it.

200 users with a 120gb mail store.
Exchange full backup to disk every day.
Whole system backup, Including exchange, stored on one LTO2 tape every week day. Was nice in beginning to have 8 backups on one tape, now is only 1 per tape.

Planning on new server next year with LTO4 so it might last 5 years.
Current LTO2 is 4 years old, only cleaned it twice. What a nice drive compared to the old DDS4 piece of SH1T.

Unfortunately we have a little larger environment to manage.

20,000 mailboxes - current limits 60/120/150
10mb attachment limit
150,000+ public folders
EMC Storage which for exchange including DR is hovering around 8tb

I currently use hosted Exchange with The Message Center Exchange Hosting

I have 3Gigs of storage space, but it's my understanding that using so much can somewhat slow down your system. There is a 50mb attachment limit, although most ip's will only allow for attachments of about 35mb. And there are a few different archiving options as well, many of them compliancy related. I've been very happy so far with their service, you might want to check out their homepage as there could be more detailed answers to your questions there.

about 150 users, no mailbox limit, but we do audit and send nasty e-mails to abusers usually quaterly.
